A doctor prescribes a plan once; the schedule, therapist assignment, and billing follow automatically for every day of the course.
Panchakarma is the single hardest thing to schedule well in an Ayurveda clinic — and the part most clinics end up managing on a whiteboard even after adopting software for everything else.
A Panchakarma course usually spans several days and more than one therapy. Once a doctor prescribes the plan — therapies, frequency, and duration — the day-wise schedule is generated automatically, with a therapist assigned based on availability and specialisation, so no one is booking each day of the course by hand.
A generic appointment slot assumes one patient, one provider, one hour. Panchakarma routinely breaks all three assumptions at once — a course can run for several days, need a specific therapist and room together, and bill against a package rather than a single visit. Scheduling software built for Panchakarma checks therapist and room availability together, so a session is never booked with a free therapist in an occupied room, or vice versa.
A missed or rescheduled session is exactly where manual tracking tends to break down — the therapist notes it verbally, but the billing desk still charges for the original plan. Recording each session's status against the same package keeps billing accurate automatically, without a therapist or receptionist having to reconcile session counts by hand at the end of the course.
On any given day, reception and therapists need one place to see what's actually happening — which patient is due for which therapy, at what time, in which room, and with which therapist. Rather than checking a printed schedule against a separate therapist roster, a live therapy board shows today's sessions — for example, an Abhyanga at 10:30 with one therapist and room, a Shirodhara at noon with another — so nothing depends on someone remembering the plan from memory.
Panchakarma scheduling is complex enough that we've written a full page on it, covering multi-day courses, room and therapist coordination, pre/post-procedure documentation, and how it connects to IPD for hospitals and residential centres. Read Panchakarma management software →
